Automatic region assignment in Vtiger CRM

In Vtiger CRM Open Source you can classify Leads and Organizations by region through a combination of zip code data, custom fields and logic (e.g. via a module or workflow). Below I describe how this works in a practical approach that Vicus often deploys:

1. Use zip code field as base

Make sure that every record for leads and organizations contains a correctly filled out (Dutch) zip code field. This is the basis for region assignment (possibly also fill in country for international application).

2. Automatic province and region assignment

Vicus has developed a module for this purpose that, based on the zip code, automatically:

• Fill in the field Province
• Fill in the Region field (e.g. North, Central, South or customized such as "Region West")
• Standardizes the country name (e.g. "Netherlands" instead of "Netherlands")

3. Linking with zip code table

The module uses a comprehensive zip code table with over 4000 lines to accurately determine the correct province and region based on the first digits of the zip code (e.g. 3811 → Utrecht → Regio Midden).

4. Regular monitoring or one-time allocation

The region assignment can:

• Be performed once upon import or database cleanup
• Be structurally automated via a custom workflow or periodic script (cronjob)

5. Benefits of automatic region assignment

• You can run more targeted campaigns by region or province
• Sales regions can be automatically distributed to account managers
• Reports based on region become more reliable
• Less manual work during data entry or control
